PTO accrual calculator

Short answer: the PTO accrual calculator (Balance projection tab) grows your current balance by your monthly accrual and warns when you hit your employer's cap.

How does PTO accrual work?

Short answer: most employers grant a fixed number of hours each pay period (e.g. 4.62 hrs biweekly ≈ 15 days/year). Unused hours roll into your balance until you hit the accrual cap.

Frequently asked questions

How do I calculate my annual PTO?
Multiply hours accrued per pay period by pay periods per year. 4.62 hrs × 26 biweekly periods = 120.1 hours ≈ 15 days. Enter your numbers in the Annual PTO tab above.
What is PTO accrual?
PTO accrual is how paid time off builds up — your employer adds a set number of hours to your balance each pay period instead of granting it all at once. Use the Balance projection tab to see it grow.
What is a PTO accrual cap?
The maximum balance your employer allows. Once you hit it, new accruals are lost ("use it or lose it"). Enter your cap above and the projector flags when you hit it.
How many PTO days is 120 hours?
15 days, at 8 hours per day. The calculator shows both hours and days automatically.
Do unused PTO hours roll over?
Usually up to the cap — policies vary by employer and state. The projection assumes rollover until the cap you enter.
Is this PTO calculator free?
Yes — unlimited calculations, free forever. No account, no limits. Everything runs in your browser.
