What Is Bates Numbering? The Legal Page Stamp, Explained
Published November 3, 2026 · By Ahmad Parvez
If you have ever seen a court filing refer to "DEF000123" or a deposition transcript quote page "SMITH-2024-000087", you have met Bates numbering. It is the legal profession's page-addressing system: a unique, sequential identifier burned onto every page so that thousands of pages of evidence can be cited precisely, by anyone, from any copy.
Where the name comes from
The name honours Edwin G. Bates, who patented an automatic numbering machine in the early 1900s — the Bates Automatic Numbering Machine, sold by the Bates Manufacturing Company. The hand stamp clicked forward one number with every impression, letting clerks stamp page after page without resetting digits. The machine is museumware now, but the numbering pattern it created — sequential, zero-padded, prefixed — survived the move to software unchanged, which is why PDFs are still said to be "Bates stamped" today.
Anatomy of a Bates number
| Element | Example | What it does |
|---|---|---|
| Prefix | JONES- or ACME_ | Identifies the matter, client or producing party |
| Sequential number | 000452 | The page's position in the production, unique across the whole set |
| Zero-padding | 6–10 digits | Keeps numbers the same width so pages sort and cite cleanly |
| Suffix (optional) | -A, .001 | Marks attachments, sub-pages or late additions to a page |
Put together: JONES-000001 is the first page of the Jones production, JONES-000452 the 452nd, and JONES-000452-A an attachment belonging to it. A finished stamp is normally printed in a consistent spot — footer or header corner — at a legible size of roughly 10–12 points.
What Bates numbers are used for
- Discovery productions: when one side hands documents to the other, every page gets a Bates number so requests, objections and rulings can cite exact pages.
- Exhibits: deposition and trial exhibits are referenced by Bates range ("pages ACME000120–ACME000135") rather than by filename.
- Medical and insurance records: large record sets are Bates-stamped so a specific page can be found in seconds across organisations.
- Confidentiality overlays: stamps are often paired with legends like "Confidential" or "Attorneys' Eyes Only" on the same pass.
Rules for stamping a production correctly
- One prefix per matter (and per producing party). If two parties produce in the same case, their prefixes must differ or the numbers collide.
- Choose enough digits for the biggest plausible set. Six digits cover 999,999 pages; large productions use eight or more. Running out of digits mid-production forces an ugly format change.
- Never reuse or silently skip numbers. If pages are withheld, the gap is documented — a Bates log records the beginning and ending number of every document.
- Stamp once, in a consistent position and size. Usually the bottom-right footer area, clear of the page's own content; check a sample of pages, especially landscape ones.
- Keep the log. The Bates log (document name → begin/end numbers) is what turns a pile of stamped PDFs back into a citable record set.
How to Bates-stamp a PDF
The modern workflow is software, not a hand stamp. With the bates numbering tool on this site: open your PDF, set the prefix, digit count and starting number, choose the stamp's position, and download the stamped copy — every page numbered in sequence, in your browser, with nothing uploaded. Run consecutive productions by continuing the start number where the last batch ended, and record the ranges in your Bates log as you go.
Bates, bate, or Bates-stamp? Spelling and grammar
The word is a surname, so it keeps its capital: Bates numbering, Bates stamp, Bates-stamped pages (hyphenated when it works as an adjective). The common misspelling "bate numbering" drops the s and the inventor with it — you will see "bate stamp" in search queries and the odd vendor page, but in anything a court might read, use Bates.
Frequently asked questions
What does Bates numbering mean?
Bates numbering means stamping every page of a document set with a unique sequential identifier — typically a case prefix plus a zero-padded number, such as JONES-000452. It lets lawyers, courts and experts cite the exact same page from any copy of the production.
Why is it called Bates numbering?
It is named after Edwin G. Bates, inventor of the Bates Automatic Numbering Machine (patented in the early 1900s), a hand stamp that advanced one number with each impression. The format his machine produced — sequential, prefixed, fixed-width — is still the standard in legal document production today.
What does a Bates number look like?
A prefix identifying the matter or party, a separator, and a zero-padded sequential number: SMITH2024-000001, DEF000123, ACME-000452-A. Most productions use 6–10 digits so all numbers have the same width and sort in order.
How do I add Bates numbers to a PDF?
Use a Bates stamping tool: open the PDF, set the prefix, number of digits and starting number, choose the position (usually a corner of the footer or header), and generate the stamped copy. On ToolVaultly the whole process runs in your browser — the file is never uploaded.
Is it Bates or bate stamp?
Bates — with the s and a capital B. It is the surname of the machine's inventor, Edwin G. Bates. 'Bate stamp' is a frequent misspelling; write Bates stamp, Bates numbering, and Bates-stamped (hyphenated as an adjective).
Where should Bates numbers be placed on the page?
In a consistent position that never covers document content — most often the bottom-right corner (footer area), sometimes the top-right header. Use a legible size around 10–12 points, check landscape pages separately, and keep the position identical across the whole production.
